Celebrant email automations that check the booking checklist
A useful celebrant automation combines a date, an action and a condition. In Ceremony Hub, you can email yourself or prepare a couple email only when a selected booking checklist item is complete or incomplete, rather than sending the same message to every couple regardless of progress.

Can I email myself if a checklist item is still incomplete?
Yes. Choose a timing such as 40 days before the wedding, select “Email me”, and require a checklist item to be incomplete. Pick the item from the actual checklist, then review and activate the automation.
For example: email a reminder to the celebrant 40 days before the wedding if “NOIM Witnessed and Signed” is incomplete. This is an organisational reminder, not a calculation of the legal NOIM deadline.
Can a review request wait until paperwork is complete?
Yes. Set the review request to run after the wedding and require the relevant paperwork checklist item to be complete. Choose the wait behaviour if you want the automation to wait for completion instead of skipping the action.
For example: seven days after the wedding, prepare a Google review request only after “Paperwork Submitted to BDM” is complete. Include the business’s own review link, and choose a draft for approval rather than automatic sending.
Can I review and personalise each email before sending?
Use the approval-first couple email action to prepare an individual email for review. Check the recipient, resolved booking details, subject, wording and signature before approving it.
Automatic sending is a separate choice. Do not enable that action if you want every message to wait for your approval.
What does the AI automation builder do?
Describe the timing, action and condition in plain English. AI helps build the configuration; you review the resulting steps and save a draft or save and activate it. It is a builder, not a separate automation system.
Name the exact checklist item and say whether to skip, stop or wait when the condition is not met. Preview which bookings are affected before activating a rule.
Will a new automation send to historical bookings?
Do not assume that saving a rule will replay every past event. Date triggers and new payment or questionnaire events have their own start behaviour. Use the booking preview and run history to understand which bookings are eligible.
Keep the booking checklist accurate: the automation uses the recorded completion status, not a guess about whether the real-world task has been done.
